1. Position Information
Job Title: Supply Chain Assistant
Department: Operations
Reports to: Supply Chain Officer / Operation Coordinator
Duty Station: [Aden / Field Location – Yemen]
Contract Type: Short-term (subject to funding and performance)

2. Job Purpose
The Supply Chain Assistant will support the efficient and compliant implementation of procurement, logistics, and warehouse operations at Action For Humanity. The role ensures timely delivery of goods and services to support programs activities, while maintaining full compliance with AFH policies, donor regulations, and humanitarian standards in Yemen’s complex operating environment.
3. Key Responsibilities
A. Procurement
Support the processing of Purchase Requests (PRs) in line with programme needs.
Assist in preparing RFQs/RFPs and collecting supplier quotations.
Support bid analysis processes ensuring fairness, transparency, and value for money.
Follow up with suppliers to ensure timely delivery of goods and services.
Maintain complete and well-organized procurement files (soft and hard copies).
Ensure all procurement activities comply with AFH procurement policies and procedures.
B. Logistics & Transport
Coordinate transportation and delivery of goods to field locations.
Track shipments and provide regular updates to relevant teams.
Liaise with freight forwarders, clearing agents, and transporters when needed.
Support planning of logistics activities considering access and security constraints.
C. Warehouse & Inventory Management
Assist in receiving, inspecting, and documenting goods (GRNs).
Maintain accurate stock records (bin cards, stock reports).
Conduct regular physical inventory counts and reconciliations.
Ensure proper storage conditions in line with safety and quality standards.
D. Asset Management
Support asset registration, tagging, record and tracking.
Maintain updated asset registers and documentation.
Assist in periodic asset verification exercises.
F. Coordination
Work closely with programme and finance teams to ensure timely support to project activities.
Maintain professional communication with suppliers and service providers.
Support field teams in planning and implementing logistics activities.
4. Context-Specific Responsibilities (Yemen)
Adapt to operational challenges including access constraints, port delays, and security risks.
Support contingency planning to ensure continuity of supply chain operations.
Ensure compliance with local regulations and coordination with relevant authorities when required.
5. Qualifications & Experience
Bachelor’s degree in Supply Chain Management, Business Administration, or related field.
Minimum 1–2 years of relevant experience, preferably with NGOs in Yemen.
Familiarity with donor compliance (e.g., UN, institutional donors) is an asset.
6. Skills & Competencies
Strong organizational and documentation skills
Attention to detail and accuracy
Ability to work under pressure and meet deadlines
Good interpersonal and communication skills
Proficiency in Microsoft Office (especially Excel)
Team player with a proactive approach
7. Languages
Good working knowledge of English

Perform any other duties as assigned by the line manager.
